Step-by-Step: Configure Rental Quotation Templates in Odoo 18
To enable quotation templates in Odoo, navigate to Sales > Configuration > Settings. Under the Quotations & Orders section, activate the Quotation Templates option. You can also enable Online Signature and Online Payment if required, allowing customers to sign and pay for quotes directly online.
Note: Although quotation templates are primarily used for sales, they are equally effective and fully functional for rental orders as well.
To create a new quotation template, go to Sales > Configuration > Quotation Templates and click New. Fill in the necessary details such as the Template Name, define the Quotation Expiration period to specify how long the quote remains valid, and include any Default Terms & Conditions, such as return policies, damage fees, or rental guidelines, to ensure clarity and consistency in your rental agreements.
To add rental products to the quotation template, navigate to the Lines tab and include the rental item(s) you want to offer. Specify the quantity for each product. For example, you can add a product like “Meeting Room” with the quantity. This allows the quotation to be pre-filled with relevant rental details, saving time and maintaining consistency.
Odoo supports upselling by letting you add extra items through the Optional Products tab. Here, you can include add-ons like Projector, Printer, or other accessories. Customers will have the option to select these additional products when reviewing the quotation online.
The Terms & Conditions tab allows you to define important rental policies, such as cancellation terms, damage charges, return timelines, or security deposit details. This ensures transparency and protects both your business and the customer. The Quote Builder tab helps you structure and customize the layout of your quotation.
To use the template when creating a new rental quotation, go to Rental > Rental Orders and click New. Select the Customer, then choose the desired Quotation Template. Once selected, all rental items and settings defined in the template will be automatically pre-filled into the quotation, streamlining the process and ensuring consistency.
