How to Easily Manage Incoterms, Shipping, and Integration Connectors in Odoo 19

Functional Odoo 19 Sales

Efficient order fulfillment and streamlined logistics are critical to success in any product-based business, especially for companies engaged in international trade, e-commerce, or large-scale distribution. With Odoo 19, businesses now have even greater flexibility and automation tools to manage global shipping operations directly within their ERP system. From defining trade terms with partners to integrating real-time carrier services and customizing delivery strategies, Odoo 19 offers a comprehensive suite of features to simplify and optimize every stage of the shipping and delivery process.

Three key components play a central role in this functionality: Incoterms, Shipping Connectors, and Delivery Methods.

  • Incoterms help standardize trade responsibilities between buyers and sellers by clearly outlining who is responsible for costs, insurance, and risks during the transport of goods. Odoo 19 makes managing these terms more accessible by allowing them to be applied seamlessly across sales orders, invoices, and other transactional documents.
  • Shipping Connectors enable automatic integration with third-party logistics providers such as UPS, FedEx, DHL, and USPS, allowing you to generate shipping labels, track packages in real time, and calculate shipping rates, without leaving the Odoo interface. This not only saves time but also ensures accuracy and consistency in your delivery workflows.
  • Delivery Methods provide full control over how orders are shipped to customers, whether through fixed-rate pricing, rules based on order weight or value, or real-time rates pulled via connectors. Features like Cash on Delivery, tracking links, country restrictions, and custom pricing rules offer granular control over how and when delivery options appear, both for internal use and on your website’s checkout page.

In this blog, we’ll walk you through how to configure and effectively manage each of these components in Odoo 19, helping you enhance logistics performance, reduce errors, and deliver a smoother customer experience. Whether you're a retailer, wholesaler, or manufacturer, mastering these features will allow you to scale your operations with confidence and precision.

Incoterms in Odoo 19

In Odoo 19, Incoterms (International Commercial Terms) play a vital role in defining the responsibilities of buyers and sellers in international trade transactions. These standardized terms outline who is responsible for various aspects of shipping, insurance, taxes, and tariffs during the transportation of goods. By clearly delineating these obligations, Incoterms help prevent misunderstandings and disputes between trading partners. In Odoo, Incoterms can be managed and applied across several key modules, including Sales, Purchases, and Inventory, making them an essential component of handling global trade operations efficiently.

In Odoo 19, managing Incoterms has been made more efficient and centralized. To set a default Incoterm for your company, go to the Accounting application, then navigate to Configuration > Settings > scroll down to the Customer Invoices section.

Here, you’ll find the Default Incoterm field, where you can select from predefined Incoterms. Once a default Incoterm is selected, it will automatically apply to all newly created invoices, helping maintain consistency across transactions.

To use an Incoterm in a sales transaction, users can begin by creating a new quotation in the Sales module and adding a product. After selecting the product, the user should navigate to the "Other Info" tab of the sale order.

Clicking this field reveals a list of all Incoterms stored in the database, allowing the user to choose the one that applies to the current transaction.

Once the quotation is confirmed and converted into a sales order, and subsequently invoiced, the chosen Incoterm is carried through to the invoice. Using the " Send" feature, this invoice can be sent to the customer, and the selected Incoterm will be clearly displayed on the document.

Managing Shipping Connectors in Odoo 19

Shipping connectors in Odoo 19 are integration tools that enable seamless communication between Odoo and external shipping carriers. These connectors streamline logistics by automating tasks such as shipping label generation, real-time tracking, and shipping rate calculations. With shipping connectors, businesses can link Odoo to major global carriers like UPS, FedEx, DHL, USPS, and even local couriers, helping reduce manual entry and minimize errors in the shipping process.

To manage and configure shipping connectors in Odoo 19, navigate to the Sales module and open the Configuration > Settings. Scroll down to the Shipping section, where all available shipping connectors will be listed. From here, you can see a list of supported carriers and integration modules.

Managing Delivery Methods in Odoo 19

In Odoo 19, managing Delivery Methods is essential for companies that handle physical products, especially those operating e-commerce platforms or large-scale logistics. A delivery method in Odoo represents a specific shipping or carrier service used to transport goods from the seller to the customer. These methods can be directly linked to third-party carriers (via shipping connectors) or defined with custom pricing and delivery rules.

To start configuring delivery methods, navigate to the Sales module, then go to Configuration > Settings > and scroll to the Shipping section.
