Navigate to the Subscription module in the Odoo 18 dashboard.

To view the automation rule, navigate to the Configuration > Automation Rules. There, you can create a new automation rule or select the existing automation rules as shown below:

Here, you can see the details such as:

  • Action Name: Add a name for your automation rules.

Under the Apply On option;

  • MRR Between: Set the monthly recurring revenue range to target.
  • MRR Change More: State your desired monthly recurring revenue goal, expressed as either a percentage or a fixed currency amount.
  • Over: select a period that will be used to calculate the selected KPIs (Key Performance Indicators)
  • Rating Satisfaction: indicate whether the rating is higher or lower than a predetermined percentage.
  • Status: To add the subscription status to the automation rule, select the available options such as Quotation, Quotation Sent, Sales Order, and Cancelled.
  • Stage goes from: Choose the transition between two subscription stages to specify when the automation rule should start.
  • Subscription Plans: Choose the subscription plans that the automation rule should apply to.
  • Products: Choose which product or products the automation rule will target.
  • Customers: Specify the customer or customers the automation rule will target.
  • Company: In a multi-company environment, specify which company’s data the automation rule should target.
  • Sales Team: Determine which sales team (s) the automation rule will target for data.

Under the Actions option, select Action To Do as,

  • Create next activity: When you select the action as Create next activity, an Activity section will appear. There, you can fill in the details such as:
    • Activity Type: select an activity type from the available drop-down option.
    • Title: add a title for the chosen activity type.
    • Note: add a note about the activity type.
    • Due Date: specify the number of days for completing the activity.
    • Assign To: assign the activity to either Subscription Salesperson, Sales Team Leader, or Specific Users.

  • Send an email to the customer: When you select the action as Send an email to the customer, an Email Template section will appear. You can either create a new email template or choose from the existing ones.

  • Send an SMS Text Message to the customer: When you select the action as Send an SMS Text Message to the customer, an SMS Template section will appear. Either create a new SMS template or pick one from the available templates.

  • Set Contract Health value: When you select the action as Set Contract Health value, a Health section will appear. There, you can choose the health issue, such as Neutral, Good, or Bad.
