Odoo 18 offers a seamless and integrated digital signature feature within both its Sales and Inventory modules. In the context of the Sales module, digital signatures are crucial for validating quotations and sales orders online. Once a quotation is sent to a customer, the customer can instantly sign the document to confirm their agreement with the terms and pricing. This e-signature marks the customer's intent to proceed, allowing the seller to initiate delivery, invoicing, or other next steps in the sales cycle. Such functionality is not only vital for businesses with remote clientele but also for companies that wish to maintain a clear and auditable approval process. Additionally, by reducing the need for follow-ups or manual paperwork, online signatures help increase conversion rates and lower customer acquisition costs, all while improving the user experience.
The digital signature feature is also integrated into the Odoo 18 Inventory module, offering significant value during the delivery confirmation process. To activate this functionality, navigate to Inventory > Configuration > Settings, and under the Shipping section, enable the Signature option.

Once enabled, this feature allows businesses to collect customer signatures at the point of delivery, serving as a verification step to confirm the product has been received. To utilize this in practice, go to Inventory > Operations > Delivery Orders and click on New to create a new delivery.

Fill in the necessary details such as the delivery address and add the relevant products in the Operations tab.

After saving the form and confirming the delivery, new action buttons such as Mark as Todo, Validate, and Sign become available.

Upon validating the delivery, click the Sign button to collect a signature. A pop-up window will appear offering options like Draw, Auto, or Load.

The Draw option enables customers to manually create their signature using a mouse or touchscreen, allowing for a personalized and authentic signing experience. This is particularly useful when the signer is physically present and prefers a handwritten style. The Auto feature, on the other hand, automatically generates a digital signature based on the customer’s name entered in the delivery form.

It offers a quick and professional-looking alternative when a manual signature isn’t feasible. Lastly, the Load option allows users to upload a pre-existing signature file (such as a scanned image or saved digital signature) from their device storage, making it ideal for remote confirmations or when the customer prefers using a consistent pre-approved signature.

After capturing the signature, it can be adopted into the delivery record, thereby completing the verification process.
Once the signature is saved, you can print the delivery slip or any related documents directly from the Action menu.

For instance, choosing the Print > Delivery Slip option will generate a PDF version of the slip with the customer’s signature embedded.

This signed document can then be stored for future reference or shared with the customer as confirmation. Overall, the digital signature feature in Odoo 18 not only enhances the professionalism of your order handling process but also increases accountability and customer trust.
