Steps to Attach Files with Products

Step 1: Accessing Odoo 17

Step 2: Navigating to the Products Menu

Once logged in, users can navigate to the "Inventory" or "Sales" module, depending on the configuration of their Odoo instance. These modules serve as the gateway to accessing product-related data and files. Here, we are selecting the Sales module for product management. 


Step 3: Opening the Product Form

In this step, users can either create a new product or edit an existing one. By opening the product form, they gain access to the details and settings of the product, including the option to attach files.


Step 4: Attaching Files

Within the product form, there is a dedicated tab for "Documents". Clicking on this tab allows users to access the attachment section, where they can begin attaching relevant files. This is a user-friendly feature that makes adding documentation to products a straightforward process.


Step 5: Uploading Files

To attach files to the product, users click the "Upload" button or a similar option. This action prompts them to select the desired files from their local storage or provide a URL, offering flexibility in how documentation is added to products.


Use the New button to store any files you would like to add with your product.

Step 6: Configuring New Files

While configuring files, users have the option to mention the name of the file and select the File Type. You can either upload a file from your computer or copy/paste an internal link to your file. 


The “Visible at” field under the Sales tab will allow you to share the document with your customers within a sale. You can leave the field empty if you don’t want to share this document with a sales customer. Here, you will get three options to select from. 

Quotation: The document will be sent to and accessible by the customer at any time. For example, This option can be useful to share product information files.

Confirmed Orders: The document will be sent to and accepted by the customer once you confirm the order. For example, this option can be useful to share User Manual, or digital content bought on eCommerce.

Inside Quote: The document will be included in the pdf of the quotation between the header pages and the quote table. 

You can activate the “Show on product page” to show this file on your eCommerce product page. 

Step 7: Saving Changes

Once all desired files are attached and any necessary descriptions are added, users must save the changes to the product. This ensures that the attached files are associated with the product and can be easily retrieved when needed.


Step 8: Viewing and Managing Attachments

The attached files are now accessible from the product form. 


Users can view and manage these attachments by navigating to the "Documents" tab within the product form. This includes options to download, delete, or edit attachments as necessary.


Step 9: Repeating for Other Products

Businesses often have a multitude of products that require documentation management. To attach files to multiple products, users can simply repeat the above steps for each product, ensuring that all relevant documentation is easily accessible within the Odoo 17 system.

Step 10: Utilizing the Attached Files

When you create a new quotation with this product, you can view the attached documents in the customer portal as shown below.


The attached files are not only stored within Odoo 17 but also readily available for reference or sharing with team members, partners, or customers. This accessibility enhances collaboration, streamlines customer interactions, and ensures that product documentation is always up to date.
