Settings
The Settings menu of the Sales module contains a number of advanced options that can be used to improve the functionality of the module. Odoo 19 will help you carry out an advanced implementation of such features in the sales module by letting you activate them according to your needs. You can enable or disable these features from the Settings menu, depending on what you're doing. Let's examine each of these qualities in greater depth.
1.1 Product Catalog
When discussing product setup in the Sales module, we went over how to set up variations for a product. By activating the Variants option from the Product Catalog menu, you can create many product variants in Odoo 19 together with their properties.
Setting up different measuring units for products is an essential part of the sales management process. By activating the Units of Measure and Packagings option, you may quickly set up multiple units for measuring goods and can handle and sell packaged items with Odoo 19.
Activate the Variant Grid Entry feature to add many versions to a sales order from a grid. When creating a sales order for a product with many versions, you can utilize this feature. Under the Attributes & Variants tab of the product setup window, you are allowed to choose from this product's variants when configuring it on your system.
A new field named SALES VARIANT SELECTION will appear beneath this tab to specify the variant selection procedure when filing a sales order for this product.
There are two options: Product Configurator and Order Grid Entry, as in the screenshot above. Sales Variant Selection's primary advantage is "Order Grid Entry," which enables the rapid and effective entry of several product variations, greatly accelerating the order generating process. The grid layout offers a clear overview of possible variants, making it easier to manage and choose from them. Additionally, the visual depiction of product variants reduces the possibility of wrong selections, boosting order accuracy, as in the screenshot below.
By activating the Deliver Content by Email feature from the Settings menu, you may send the customer a product-specific email after the invoice has been verified. If you want to provide detailed information regarding the items, you can email the other party. It can specify an email template for this from the product detail form.
1.2 Pricing
The settings' pricing tab includes the following options: Margin, Discounts & Gift Card, Pricelists, and Discounts.
The Settings menu's Pricing tab is where you may activate the Discounts feature, which lets you apply discounts to sales order lines. Odoo will automatically display the discount calculated from the applicable price list, or you can add discounts manually, as shown in the image below under the Sales Order Lines.
Additionally, the order line now has a new discount option thanks to Odoo 19. Once the Discount option has been activated, this choice can be viewed on the order lines. Choose the option to receive a discount.
This allows the user to apply an On All Order Lines, Global Discount, and Fixed Amount.
On All Order Lines: Apply the designated discount percentage—which is set in the pop-up window's Discount field—to each of the sales order's current order lines.
Global Discount: Include a product line with a cumulative value equal to the designated discount percentage in the order.
Fixed Amount: Fill in the Discount area with a monetary value. After being applied, the monetary value is deducted from the order total and the amount is added to the order as a product line.
Apply the voucher to just one type.
To add margins in bids or sales orders, you can activate the Margins function from the Settings menu, as shown below. Adding the product sales prices less the cost stated in their detail form is a common method of calculating the margin.
Gift cards, discounts, promotions, and other incentives could help your product reach more people and boost sales. To enable this feature, select the Settings option from the Configuration menu. In the Pricing section, "Promotion, Loyalty & Gift Card" ought to be enabled. This settings update will add two new options to the dropdown list on the Products tab: "Discount & Loyalty" and "Gift cards & eWallet”, as explained before.
1.3 Quotation and Orders
The Quotations & Orders tab follows, and it includes the following: Online Signature, Online Payment, Default Quotation Validity, Sales Warning, PDF Quote builder, and Quotation Templates.
By turning on the Online Payment option, you can allow your clients to pay online in order to authenticate sales orders. You can incorporate more payment processors into your sales efforts by clicking the Payment Providers tab. After that, a new window containing many payment sources will appear. You can activate the necessary payment processors from this window.
If you want to choose a default validity for your quotations, you can do so by selecting the Default Quotation Validity option from the Settings menu. The default validity in a given number of days might be mentioned here.
When you generate a new sales order or quotation, the expiration date will show in the window. The validity set will be used as the default when calculating it.
Once a sales order has been verified, it can be locked in Odoo 19. By locking the sales order, Odoo19 will stop it from being altered. You can activate this feature by selecting the Quotation & Orders tab from the Settings menu.
As shown in the image below, you may use the Lock option in the sales order to lock the confirmed sales order. The sales order can be unlocked by tapping the appropriate button.
By activating the relevant item from the Settings menu in the Sales module, you can use Odoo 19 to send Pro-Forma Invoices to your clients.
Before preparing the client bill, you can make a pro forma invoice using the price listed in the sales order. It will give a comprehensive rundown of the company's offerings.
The sales order window will display the Send Pro-Forma Invoice option, as shown in the image above. When you click this button, a pop-up window will appear. The automatically generated message will include the sales order number and amount. You can change the email's content to fit your needs.
In order to give the customer a full grasp of the price, terms and conditions, and other offers offered by the company, you can also include sales quotations in this email. Click on the Send button.
Finally, you have an option of a Sale Warning, which provides warnings for products or customers.
The option will be available under the Sales tab of Products menu, as in the image below.
Similarly, the warnings can be added under Customers too, as in the screenshot below.
You can establish warnings for inventory transactions, purchase orders, and sales orders by choosing choices under the Internal Notes tab. You have the option to specify the kind of warning, such as one that alerts users without interfering with the transaction or one that forbids them from finishing the order.
1.4 Shipping
The company can choose to ship products to customers directly or through third-party shipping companies. By providing accurate tracking of the delivery procedures, Odoo 19 will ensure seamless operations in each of these shipping methods.
You may activate the shipping feature in Odoo 19 from the Settings menu of the Sales module. Navigate to the Settings menu's Shipping tab, as seen in the screenshot below.
You can activate the Delivery Methods here, which will help you figure out how much shipping will cost for your order. Furthermore, the window will show all available third-party shippers, such as FedEx Connector, bpost Connector, Send Cloud Connector, UPS Connector, DHL Connector, USPS Connector, Envia.com connector and EasyPost Connector as well. Using the external link next to each shipping party, you can configure multiple shipping methods for each shipping party.
1.5 Invoicing
Consolidated subscription billing, Automatic Invoice, Commission, and Invoicing Policy are all included on the Invoicing menu.
You can choose the Invoicing Policy for your sales activities from the Settings menu. In Odoo 19, you have two choices for product invoicing. By selecting the Invoice what is Ordered option under the Invoicing Policy, you can bill the customer for all of the amounts they have ordered. Odoo's "Invoice what is delivered" feature allows you to bill the customer for the quantities that are delivered. It is not possible to invoice items prior to delivery using the second method. Here the company’s default invoicing policy is set here. Which means if the user creates a new product, the invoicing policy is similar as setting here.
It's possible to change the invoicing policy from the product. The product detail form can be used to specify a product's invoicing policy.
An Automatic Invoice is a method that generates an invoice automatically after the customer confirms an online payment.
For this process to be successful, the product's invoicing policy needs to be dependent on the order quantity (Invoice what is Ordered). After a user sends them the generated quotation, customers can swiftly pay the money via the customer portal. After the online payment has been verified, an invoice will be created, transitioning the quotation stage to the sales order.
In Odoo 19, Consolidated Subscription billing is a functionality. It makes it easier to combine all of a client's subscriptions that are due on the same day into a single invoice.
In the event that a customer has many pending subscriptions to a bill, they can combine all of their outstanding subscriptions on a single invoice by turning on the Consolidated Subscription billing option.
Then, you have the Commissions option, which manages sales and teams targets and commissions.
1.6 Connectors
Your sales module can import Amazon orders if you enable the Amazon Sync option. Turning on this field will allow you to manage Amazon orders in the sales module and sync delivery.
The Amazon sync helps you import Amazon orders and sync deliveries. Global print-on-demand company Gelato connects with Odoo to streamline order fulfillment and sync product catalogs. The gelato option helps place orders through gelato’s print-on-demand service. Gelato goods can be ordered on the eCommerce store or through sales quotations in Odoo. Once the webhook and API are configured, gelato delivery choices are automatically synchronized. And the shoppee sync option helps import Shopee orders and sync deliveries.
