Once the quotation is confirmed by the customer, it will be converted to a sale order and the delivery order is created based on the sale order.

We can filter the activities using the filters option by clicking on filters, which displays the menu as seen below.

We can filter based on my pipeline, unassigned, open opportunities, unread messages, creation date, closing date, won, lost, archived, and add a custom filter.The opportunities are arranged in different stages such as a new, qualified, proposition, and won. We can drag and drop these stages with respect to their qualification. Without difficulty, we can create an opportunity from the CRM pipeline itself. For creating opportunities click the + button in the pipeline. A popup window will come and we can add the details, such as the name, customer details, expected revenue from the opportunity, priorities according to low, medium, high.

We can add a new customer or can edit the existing one. If the customer is a new person we can add the details of the customer in the create customer window. The image of the window is depicted below.

We have discussed the different stages and different views that are available in the Odoo CRM module and now let us discuss how to create quotations in this platform.

Creating Quotation

We can create quotations from any stage in the pipeline. For creating a quotation select the opportunity tab and click the quotation menu.

Here onwards we can assign an individual and team. So the user can follow up on the activities. Opportunity gains the next step as a proposition.

Also we can add an expected closing date and can define priority. We can also colour the tag for easy understanding, by simply clicking on the tag and adding the colour of your choice from the list of colors available. which will also be depicted in kanban view. In the follow-up button, we can add notes and follow up information.

How to create a new stage?

Odoo allows the user to create a new stage or to edit the existing one. For example, a qualified opportunity demands to increase the number of orders and so the company wants to give the customer discounts or offers for the extra order. Then, these details could be added by creating a new stage using Add a Column.

For creating a new Stage click on Add a column.

By clicking on the upper-right settings button of each stage, the menu shows:

- FOLD

- EDIT STAGE

- DELETE

By enabling the fold option, we can change the view of this new column in fold type and also can unfold it

Using the Edit stage option, we can edit the stage name,

There we can see the options;

● Is won stage

● Folded in the pipeline

● Sales team

We will be able to tick the appropriate boxes.

Also, we can assign a sales team. Under the requirement option, we can provide instructions for our sales team about changing this stage as an opportunity.

Next to the settings button on the right side of every stage, there is a + icon -Quick add.

Using the quick add option we can add a new opportunity and can provide the details.

The above-mentioned settings and quick add options are available with all stages in the pipeline.

The expected revenue calculations in amount are displayed automatically in each stage.

Lead in Odoo platform

In any business group, there will be various sales representatives who are managing the leads. When the number of leads increases the difficulty of managing lead also increases. The Odoo CRM module will help to reduce the workload of both employer and employee and the automated lead assignation helps to simplify the duties of the team manager.

For activating the lead go-to CRM-> configuration ->settings By activating the lead option, we can create a qualification step before the creation of an opportunity. It may be a business card you received or may a contact form you filled in your website etc. The leads can be converted into an opportunity.

By activating this incoming e-mail option, we can create leads from incoming emails.

Predictive lead scoring

Predictive Lead scoring is a statistical analyzing tool. Using this tool we can calculate the probability to close a lead. This automatic probability analysis helps to determine the probability of closing the lead.

Lead generation

Converting visits to lead:

When enabling the visits to lead option, each and every website visitor is converted to leads and performs data enrichment based on the visitor’s IP address.

Lead mining allows you to generate leads directly from your database and classify your leads based on some criteria like country, the size of the company, the industry.

Lead enrichment

The advanced feature Lead enrichment in Odoo platform will allow you to obtain further more additional pieces of information and the contact information of a lead from a single contact address in order to enrich the collected data. It helps to ensure that all the data are complete and up to date. If activating this option, enrich the data automatically with company data based on their Email address. The enrichment options should be enabled in the settings menu of the CRM module.

Manage multiple sales team

Odoo CRM assists you to manage several offices, channels, and sales teams with a single mode of operation. This will enhance your business opportunity and also will make your task very easy and simple. It is very difficult to manage numerous salespersons, especially from different regions at a time. Odoo aids you to manage all these problems in a systematic and centralized way. You can manage this problem by splitting salespersons into a manageable sales team. When we split salespersons into the sales team, it will be a more easier task to manage everything in the group. We can split the team on the basis of localization, countries, regions, or states, or product and also on the basis of languages they speak for easy communication. All these problems will be solved by enabling the option to manage multiple sales teams.

In the sales team creation window, we can provide the sales team name and it can be allocated to quotations, pipeline operations, and leads. We can assign a team leader along with the invoicing target. We can provide the company details and can set an email alias name. All the messages sent to the email address will create a lead or opportunity.

Add members to your sales channel

We can add the members to any sales team by selecting the add option available under the team member’s menu. When the members open it, the pipeline structure of the sales channel will be visible. Any lead or opportunity assigned to them will link to the sales channel.

All the contact information of the employees is defined in this window and also you can create new employees directly using this window.

Activity types

Under the configuration menu, there is an option named activity types which will help you to create and configure the various activities of the CRM module. This option is meant for listing out the various activities that will help greatly in creating a lead. These activities will be helpful for creating valuable communications in between you and your customers and provide more possibilities for an opportunity to make way for creating a customer.

We can create a new activity type by taking the route configuration -> activity types-> create.

On this page, we have to provide the details such as - name, action to perform, the scheduled date of the activity to be done, set next deadline of prior activity, planning next activities, etc.

Team pipelines

Under the sales tab of the CRM module, there is an option team pipelines for viewing the opportunities based on team. This team may be region-based or anything like that. We get the details of opportunities and date, stage-wise status from this option.

The customers described in the CRM platform can be viewed under the sales tab of this module.

We can create new customers by selecting the create button available in the customer’s window where we can allocate the customer details such as company name, and can define whether the customer is an individual or a company. We can provide the company address, job position, and the contact details such as phone and mobile number, email address, website link. The image of the window is depicted below.

Pipeline analysis and pipeline activities

Under the reporting menu, there are pipeline analysis and pipeline activity analysis options. In this dashboard, one can find a clear graphical representation of the pipeline.

by clicking on the measures option in the pipeline analysis dashboard, the menu showing different types of measures like automated probability, bounce, color index, day to assign, days to close, expected revenue, probability, prorated revenue, and the count could be seen.

There are different graphical representations available in the pipeline dashboard such as bar chart, line chart, and pie chart which can be summarised a large amount of data in a visually appealing way and one can easily understand the trends and the measures. When you select to mark lost button and you will be depicted with a pop-up window where you can provide the reason for the loss.

If we are submitting the reason for the loss of opportunity our lead will be marked as lost under the opportunity menu. It is also possible in Odoo to restore the opportunity. This platform will give you a clear picture of the opportunity pipeline and automatically archive the lost opportunities and keep them as separate fields.
