Point of Sale

Odoo, the advanced business suit application, can satisfy all the business needs and can make the business more profitable and convenient. Point of Sale is one of the available modules that control all the transactions between the retailer and the customer. It is the retail mode of sale application and integrating the retail operations of the company with Odoo. The front end interface of this module will fasten the selling process of goods and help to manage multiple customers at the same time. Also, the back-end interface of this module will configure the point of sale and analyse the sales process, and also generates reports.

Using Odoo point of Sale benefits its users will have everything in one central system, more simple to handle, and the mistakes are reduced to a minimum number. It is fully integrated with the inventory module. All the transactions that are conducted at the point of sale will be automatically registered in the stock and accounting section. The customer details will be added to the CRM module. The user can experience real-time integration benefits by using Odoo PoS.

The Odoo PoS module can be used both online and offline. It can be configured for both the operations of a retail shop and a bar or a restaurant. You can access the Point of Sale module from the Odoo application.

Products

The product description and creation steps in Point of Sale can be done in the same way as being described in the Sales module. The below image depicts the product window of the PoS module.

In this product window, you can create new products by selecting the create icon available on the top left corner of this window. The filtering and group by options are available in this window.

This is the image of the Product creation window and using this window, you can create a new product depending upon the business needs and you can assign all the required descriptions of the product and should mention the attributes available under the Point of Sale tab.

You can check the box if you wants to appear the product at the Point of Sale and can specify the product category in the given box. The user(you) can check the box near the option to weigh with scale if the product should be weighted using the hardware scale integration. The product variants can also be described in the platform and let us now move on to the next feature product variants.

The product variants window can be accessed by clicking on the product variants menu available under the product tab of the Point of Sale module.

We described the feature product variants in the sales module in a detailed manner. Now let us move on to the pricelists option.

Pricelist

In Odoo Point of Sale, you can assign various pricelists based upon the requirements. These price lists allows you to create multiple prices for the same product and automated discounts are also possible in this platform. For accessing this feature, the user should enable the Pricelist option from settings.

Now the pricelist menu of the PoS module can be accessed from the product tab of the PoS module.

You can create a new pricelist by clicking the create button available in the price list window. Below is the image of the price list creation window.

In the price list creation window, you can provide a name for the price list and the company details under the given space. The price rules can be defined by using the add a line option.

Using this window, you can apply pricelists on all products, product category, product and product variants. The price list computation can be assigned as a fixed price, percentage, discount, or formula based upon the pricelist requirements. You can also define the minimum quantity that is required for applying the pricelist and the starting and ending dates for the validation of the pricelist.

The user can define the availability based on the country groups and can assign the discount policy under the configuration tab of the price list.

As we discussed the pricelists configuration in the platform now we can discuss the payment methods of the point of sale.

Payment Methods

The Payment Methods of the point of sale window can be accessed from the configuration tab. Using this window, you can configure different payment methods.

In this window, all the payment methods that are described in this platform can be viewed. It is also possible to create new payment methods using the creation window. You can access the creation window by selecting the create button.

You can assign the name for the Payment Method and can enable the cash option. Allocate company details and can define the cash journal. The user can select the payment terminals from the POS settings.

As we clear on the payment methods in the point of sale now we can move on to the next feature product category.

POS Product category

In Odoo, the user has the provision to create product categories for the POS operations of the company. The POS product category menu can be accessed from the configuration tab

The user can see all the created POS product categories and can create a new product category by selecting the create icon. The POS product categories filter allows the user to set accessible categories for each POS session and will help to access the relevant categories.

In this window, the user can assign the category name and the details of the parent category. He/she can add an image for the product category in the allocated space.

Attributes

As the sales and purchase module, the eminent features, product variants and Attributes are also available at the point of sale. The product variants in the POS can be defined based on the attributes that are described in the platform. The product attributes feature will help the users to sell the product with different sizes, colours or configurations of the same product with product variants. The window where the attributes are described can be accessed from the configuration tab of the POS module.

In this window, you can view all the Attributes described in the platform and the user can create new attributes by selecting the create button.

In the Attribute creation window, you can provide the Attribute Name, the display type for the product configuration, allocates the variants creation mode such as instantly, Dynamically, Never. The variants creation mode cannot be changed once the attribute is used on at least one product. You can also provide an attribute value by selecting Add a line option available under the Attribute Values tab of this window.

So far we were discussing about product related configurations in the POS and now let us have the detailed analysis of the point of sale operations.

Point of Sale configuration

In Odoo POS module, the point of sale operations and activities can be conducted via accessing the Point of sale menu available from the configuration tab.

For accessing the point of sale menu, go-to point of sale-> configuration -> Point of sale.

In the creation form, you can define all the attributes related to business operations. Firstly one can define an internal identification, a name for the POS session, and allocate the company details. If the POS session is created for managing a bar or restaurant, you can check the box near the is a bar/restaurant option.

It is sure that Odoo gives both shop and restaurant owners several unique options to manage their business in the finest way. Odoo gives the freedom to configure the POS operations according to their needs.

In the POS creation window, the user can apply employee authorization by enabling the option to Login with employees. The employees can scan their badges or enter a PIN to log into a POS session.

You can add category pictures to your PoS session by enabling the category pictures option. The product categories will be displayed with pictures and it will make the POS session more attractive and colourful.

You can enable the option virtual keyboard to experience the benefits of touch screens and there is no need to enable the option if you takes orders on a smartphone or tablet.

The Large scrollbars option can be enabled for the imprecise industrial touch screen and it will help to improve navigation.

Restrict available product categories option will allow you to display products that are within one of the selected categories, if no category is specified all available product categories will be shown in the POS session. Additionally, you can start selling from a default product category by enabling the option Set Start Category.

Under the menu of the connected device of the POS session, there are options like barcode scanner, IoT box devices, order printer, and enabling of these options will allow you to connect the database with this useful hardware.

Taxes

Under the taxes menu, you can assign the fiscal positions for the various orders. The user can choose a specific fiscal position at the order depending on the kind of customer.

Pricing

Under the pricing menu of POS, the platform providing the following features

Default Pricelist: You can assign the default pricelist and the pricelist used if no customer is selected or if the customer has no Sale Pricelist configured.

Product Prices: Product Prices on receipts can be made either the tax excluded or tax included.

Advanced Pricelists: By enabling the advanced pricelists option you can set shop-specific prices, seasonal discounts, etc.

Global Discounts: The user can allow Global Discounts on orders by enabling the Global Discounts option.

Payments

Under the payments menu, the user can set up the Payment methods. Enabling the Cash Controls option will help the users to check the amount of the cash box at the opening and closing and this default feature will bring down the errors. Prefill Cash Payment and Tips can also be specified.

Bills & Receipts

Under the Bills & Receipts, you can enable the option Header & footer for adding a custom message to the header and footer. It is also possible to set a custom message based on the different policies like company address or website address as header and gratitude messages like thanks for shopping with us as the footer.

The reprint Receipt option will allow the cashier to reprint receipts and also the receipt will automatically be printed at the end of each order by enabling the Automatic Receipt printing option.

You can enable and use the Bill Printing feature to print the bill before the payment. Moreover the Bill splitting feature is also available in the Point of Sale. Accounting or invoicing journals for the invoice operation can also be mentioned under the feature Invoicing.

The operation type can be specified under the inventory menu. Moreover, the journal could be specified for the sales operations to be conducted from the accounting menu. The sales team for the operation can be defined under the Sales Reporting menu and the POS sales will be related to this sales team.

Session

In Odoo, the created POS sessions can be viewed from the sessions menu available from the Orders tab of the POS module.

In the Session window the details such as session name, session ID, Responsible person for the session, Date, and duration for closing and opening the session, and the Status of the session are listed.

Customers

The customer defined in the platform can be viewed from the customer menu available from the Orders tab of the POS module.

You can also create new customers by selecting the create button available in the customers window. Now let us discuss the POS dashboard in detail.

POS Dashboard

In the Odoo platform, the POS operations are conducted in a systematic way. It allows you to create and run all the POS operations as customized and organized sessions. Odoo POS sessions will help the users to track cash flow on each sales operation and it provides a simple user-friendly interface. It is sure that the integration of Odoo POS with other modules like sales, purchase, inventory, etc. will increase productivity and will save your time. It will provide users with an organized view of sales, stocks, revenue. The platform can run multiple POS sessions and the user can stop a session according to the need.

You can view all the created POS sessions in the POS home dashboard.

The above image represents the POS dashboard. You can run the respective POS sessions by selecting the Resume icon and the session can close by selecting the Close icon available in each session.

As soon as selecting the Resume menu it will start to load the respective operation and after loading has completed, you will follow a new window where all the products with unit prizes related to this POS are being displayed.

The left portion of the window is designed for billing purposes. You can select the desired product by clicking on them and it would be added to the cart. You can add multiple quantities of the same product by clicking on the same product again. If the customer wants to cancel any product he/she ordered, the seller can delete the order by clicking the backspace button. The user can assign the customer by selecting the customer icon available in the window. Upon selecting the customer icon, the regular customer name window will appear. If the customer is a new person, the user can have the create option.

If the user wants to create a new customer, can select the plus icon available in the customer window. The image of the customer creation window is given below.

In this window, the user can provide the customer name, address, tax details, contact details, etc. in the appropriate columns. Undo, save, search, and cancel buttons are also available in this window.

After allocating the customer details to the POS session, the next step is the Payment section. For accessing the payment details window, can select the Payment icon available in the POS sales window.

The users have the possibility to choose the payment procedures either by cash or bank. By selecting the payment through cash or bank the user can specify the amount being provided and can allocate the details like payment amount and if he/she applying any offers can be allocated under the option Tendered. After confirming the details the user can click on the Validate menu.

The user can close the POS session by selecting the close button available on the top right corner of the window and confirm.

Restaurant POS Session

You can configure the floors by selecting the create and edit option available from the drop-down menu of floors. The image of the window is given below.

In the window, you can provide the floor name, an internal identification for the restaurant floor. Allocate the associated point of sale using the drop-down window and you can add the list of tables on this floor by selecting the Add a line option available. You can provide the table name and the number of seats in the available window.

The user has the provision to add different floors to their restaurants like Main Floor and Patio and also is able to configure multiple floors in a POS. Similarly, you can configure the number of floors, number of tables on each floor, and the number of seats on each table.

In the above window, you can view the floor plan and table configuration. The user has the provision to make desirable changes in the interface like name, seats, can increase or decrease the number of tables, can allocate the number of seats, change the shape of the table, choose different colour combinations, can delete if anything is not required by using the edit option available in the window.

Odoo allows you to set each table configuration in a separate way according to the demands. The order of each table can be done by selecting the table and the image of the window is depicted below.

In this sales window, the user can assign the required product by clicking on them, and then the product will be attached to the bill section of this window. One can search for products using the search bar available on the right top of the window. The home product window can be available by clicking the home menu where all the products are listed out as chairs, desks, drinks, food, miscellaneous.

The user can see some additional menus like Note, Transfer, Guests, Bill, Split, Order. The note menu can be used to create notes in the order line. It is convenient to change the table or arrangements by using the transfer menu. The Guests button will allow the user to allocate the number of customers in a table. It can also possible to take the print of the bill using the Bill button. The users have the provision to split the order line as per the customer convenience. Additionally, the order menu can be used to make an order.

Reporting

In Odoo, the reporting section of POS is also available as any other module. You can access the reporting section from the POS dashboard itself.

Go to Point of Sale > Reporting > Orders.

This is the graphical view of the POS reports. You can also see the reports in the Pivot view and it will give more clear quantitative analysis.
