The Odoo platform opens a wide chance for configuring the User of the platform along with the operational potentialities together with the authorization offered for them. The Odoo system software is considered as the leading business management solution, which paves the way for systematically defining users both on priority based and authorization based, which is essential for getting better insight for the business management team. Odoo also provides the provision to give the proper access and flexibility of business management and the right to operate in accordance with the job positions that they possess in the organization. In the real-time functioning of a business, it is not fair to grant complete authority and authorization for a lower level employee to supervise the whole aspects of the organization as it will bring complexities and difficulties in operational practice.

By realizing this fact, the founders and developers of Odoo crafted a hierarchical authorization level of users in the functioning, which will facilitate smooth management. With this platform, you will obtain three types of users for the operation of the system. These are

  • Internal User
  • Public User
  • Portal user.

The Internal users in Odoo are the employees of the company. It can be admin users who have full access to the ERP or the normal employees who work in the company in different departments, and they have only access to their respective areas. In addition, the department heads who do not have the complete access rights towards the organization but who have the full access rights to his or her particular department operations are also considered as the Internal users. That means, this internal user includes both admin users with full access rights and the employees who have limited access rights. In the case of the first one, somebody with full access to the Odoo system is considered as the highest level of user in the system and can perform any action, including creating other users, setting up views and menus, making changes to the system configuration, assigning privileges, and performing other administrative tasks. With the superuser account with administrator privileges, they have the knack for administering, and all remaining users are subjected to them. Normally, the business managers and the team leads will fall under this kind of authorization. Additionally, the Odoo platform supports having more than one Admin user in operation and grants separate authorization for each of them to come under this category in accordance with the requirements. This will assure a safe and secure authority of management with respect to the team or department for the corresponding Admin user. The admin user is the only user who can install new modules or upgrade existing modules. The second category of users in the Internal User are the users who are working in the company, excluding the managers and the management teams. These will most probably be the executives and the other employees who are employed under the manager. We can also categorize them as they allow us to organize the authorization information with respect to the operational aspects of the company. The Odoo system imparts a distinct login and log-out code of operation for these types of users, and it will gain insight into the performance and functioning of each employee. The same login and log-out operational facilities can be applied to mark the attendance, time off and also for understanding the timesheet of operation of an employee in association with the organizational functioning.

The Second type of user is the Public User and who are considered as the website visitors. The third type of user is portal users and which is different from the other user type, and usually, it is used to give customers access to the Odoo portal. Portal users have limited permission, and they cannot access the backend of Odoo. as typically they have no access to the back end of Odoo, but can access certain areas such as the customer portal, website, or other public-facing areas. Portal users are typically used for customers, vendors, and other external entities. They have the customers or vendors access to the Odoo platform without having full access to the system. Within this user, they can view documents, and perform certain tasks like creating orders and quotations, check out the stock of certain products, service availability, etc. Moreover, the responsible authority of the organization can decide which kind of access needs to be granted to these portal users. It can also be possible to set different access to different portal users.

The three categories as mentioned above, are the three forms of basic users that Odoo allows you to manage in the system for performing various operations of the organization. The Odoo platform is very smooth in handling all these users with its most sophisticated User configuration features and the dedicated Management menu available.
