Employee

One of the notable modules in human resource management is the Employee module. The module helps the users to analyze and organize all the details based on the employee in a company. There is a space to keep all the records for each employee. The details, such as contacts, information on the work that they are doing, contract, resume of the employees, and many others. It is a mandatory process to keep all the data related to all the employees in the office in a well-mannered way. Their documents based on their work experience, educational qualifications, talents and skills, and career details should be well organized and kept. The organization can create appraisal activities, promotion programs, employee policies, skill developing programs, and many recruitment programs as well.

On the main window to the Employee module, you will get a page with a lot of profiles of employees.

The Kanban view of the window gives the profile of each employee in a well-organized manner. There you are provided with each profile along with their photos. The page can also be seen in the List view if required. There are Group By Filters options for locating the employees. You may make use of the customizable and default option for sorting a particular employee. On the leftmost corner, you have a company list. If the work is in a multi-company, then you may go for a particular company, which provides the profiles of every employee there along with their data. Under that, you have the Department list, which includes the number of employees working in the departments. The option helps to categorize the workers according to their department. The clock option will help you to manage particular activities corresponding to each employee. On the image, you will get the option to schedule on selecting the clock option.

On the top right side, you will get the status of every employee as online or not. Using the Create option, you can easily make a new employee to add to this existing list.

On the employee creation page, you can make a name for the employee along with the job position of the employee in the allotted spaces. Later, you can add work mobile, work phone, work email, name of the company, department, name of the manager, and the coach of the employee, respectively.

In the Resume tab, you have an option to include the resume and skills of the employee. This option helps you to train and promote various programs. In order to include your resume in the profile, select create a new entry option on which a new window will appear.

On the page, you can add the title for the resume, a type for the drop-down option, such as Experience, Education, Internal Certification, or Internal Training. The Display Type can be set as classic, Certification, or Course. The starting and ending date can also be provided in the required spaces. Here, the date refers to the time period taken to complete a particular course. Under the description option, you have to provide a short note on the resume. Finally, save the resume.

To create skills, you can go to the Create a new entry option. Then, you will have a pop-up window, as shown below.

On this page, the skill type can be selected. It can be language, marketing, music and so on. Then, under the Skill level, and Progress option, you can mention it accordingly, which determines the level of skill you have. On triggering the developer mode, you will get the skill types and skill levels in the configuration menu also. Finally, go to the Save and Close option, or if you want to add a new one, go to Save and New.

On completing the process of adding the resume and skills, the resume tab will be shown, as follows.

The Add option as marked in the above image, helps you to include a new resume or skill to the list. Under the Work Information tab, you can provide the following details.

Under the location field, you can provide the work address and work location as well. According to the company that we selected before, we will make the work address show on its own. There is an option for work location in the configuration menu as well. Under the Approvers option, you can select a user and their expense of them on the expense and time off space. Working hours and time zone can also be created under the schedule option. There is an organization chart, which appears on creating the manager or coach and saving the profile.

Now, you have the Private Information tab, which is composed of personal data other than work-related details.

Here, you can include the details, such as Private contact like address, email, phone, language, bank account number, and home-work distance. On the family status, you can mention the marital status and the number of dependent children. On the emergency option, contact name and contact phone can be added.

In the education field, you can include the certificate level, the field of study, and school. Below the citizenship option, you can provide the nationality, identification number, passport number, gender, date of birth, place of birth, and country of birth, respectively. Under the work permit option, you have a space to add the visa number, work permit number, visa expiring date, work permit expiring date, and a space to upload supporting documents as well.

On selecting the HR settings in the employee module, then you have the space to provide the employee type, which includes employee, student, trainee, contractor, or freelancer. On the related user, provide the user accordingly. This step is mandatory as it gives access to manage the resources. Under the payroll option, you can give the current contract and job position as well. Under the application settings option, you can mention the fleet mobility card and timesheet cost. Under the Attendance or point of sale, you can give the PIN code for check-in or check-out in the kiosk tab for changing the cashier available in the point of sale module. You can easily create a badge ID for the identification of the employees. On selecting the Generate option, you can make the Badge ID code easily.

When you are done with all the above details provided, then you can go to the save icon. On selecting the employee from the main page, you will be provided with some advanced features, as shown below.

The created profile will be available for this time off, timesheets, equipment, contract, work entries, and worked hours last month. The Contract option will provide you with the in-progress contracts that are created with this particular employee. The Time off option assists you in having the information regarding the remaining leaves and the time off calendar as well. The equipment option will show the details of the equipment created by this employee. The work entry and timesheet-based data will be available under the work entries and timesheet options. Using the attendance option, the attendance of the employee can be seen. Using the option, the number of hours worked last month can also be visible. The launch plan option is for launching a plan with the particular employee.

On joining a new employee to a company, we have to assign particular activities for familiarizing the working of the company. On selecting the option, a window will appear.

For the new plan, you can select the onboarding option. Then it will be assigned to the employee on its own. You can also create off boarding activities on the employee leaving the company.
