Send a Maintenance Request

In our discussions so far, we've talked about how to create “Equipment,” set up “Maintenance Teams,” and create equipment categories. Let's now examine how to send or create a maintenance request using the tools and teams that are available on the platform. Go to the “Maintenance” menu and select the “Maintenance Request” option from the dropdown, as shown in the screenshot below.

In this “Maintenance Request” window, you can see the open maintenance requests as well as their current status. We can see the created request dashboard view from the above screenshot after opening the “Maintenance Request” homepage. Here the requests are arranged in a project-based manner. You can view the ongoing maintenance requests and their current stages in this Maintenance Request window. This indicates that the state is changed to the “In Progress” stage if the Maintenance Request is in the Progress condition. The equipment's state will automatically change to "Repaired" when it is repaired. On the other hand, the state will change to "Scrap" if the equipment is scrapped. Additionally, the platform gives you the option to fold up or unfolding of the stages and add more stages by choosing the "+Stage" option.

Creation and Scheduling of a Corrective Maintenance Request To create a new maintenance request, Click on the “NEW” button provided in the upper left corner of the homepage under the Maintenance request page title, as shown in the above screenshot. After opening the “Maintenance Request” menu, you can see the request configuration form depicted in the screenshot below, in which we have to fill in the required data.

We have to provide the maintenance request in the form, which contains many data fields, such as

  • Request - The maintenance request has to be filled in this data field in the form of a description.
  • Equipment - Equipment name that can be selected from the dropdown list in the field.
  • Request Date - Date of creating the request.
  • Maintenance Type - Select the maintenance type from the options given beside.
  • Description - You can add any description regarding the equipment to the maintenance team.
  • Team - Mention the requesting maintenance team according to the equipment type.
  • Responsible - You can mention the responsible person for this maintenance.
  • Schedule Date - Date of Schedule
  • Duration - Duration required for the maintenance procedure.
  • Priority - You can denote your urgency by setting the priority.
  • Company - Mention your company details.

You can save the details of the new maintenance request after filling in the required information.

You can quickly edit the status and designate the request as urgent by highlighting the request in different colors on the Kanban card. Use the settings icon that is located next to each status section to fold and unfold the status as well.

We have now discussed the procedures involved in creating new maintenance requests from the maintenance menu. The above-described scenario is an example of Corrective Maintenance. Now we can discuss the process of scheduling |”Preventive Maintenance.”

Scheduling a Preventive Maintenance Request In the previous example, we discussed the procedure for creating, managing, and scheduling Corrective Maintenance Management. Take a look at the Preventive Maintenance Request example. The process is very similar, but the request's perspective changes in this scenario. Preventive Maintenance is regular or periodic routine maintenance performed ahead of time to avoid breakdowns in heavy equipment, components, products, and other assets. Open your new maintenance request page by clicking the “NEW” button from the Maintenance Request homepage. You will be directed to the request configuration form shown in the screenshot below, which is the same as the previously explained configuration form. Here, we can request for an Inkjet Cartridge Replacement on an HP Inkjet Printer as a preventive Maintenance Request, as shown in the screenshot below. For Preventive Maintenance. In this field, the maintenance type should be ‘Preventive.’

Save the details after filling in the required data fields. You can see the newly created request from the “Maintenance Request” Home page, as shown in the screenshot below.

To create multiple Maintenance Requests, You can click on the “Action” button and select “Duplicate,” which will create another copy of the same request. Users can create multiple copies of requests using this method.

Scheduling the Preventive Action Users can schedule the Preventive Action by setting up the Maintenance Frequency using the Equipment Maintenance Function. You can go to the Equipments menu for this procedure. Select the Equipment from the list as shown in the screenshot below.

After selecting the Equipment, it will open the Equipment Configuration form, as shown below.

You can set the Preventive Maintenance Frequency as per your requirement in the respective field from the “Maintenance” section of the form, as shown in the screenshot above. You can provide the duration for performing the maintenance or repair process in the "Maintenance Duration" field. Then save the details after completing the changes.
As the preventive maintenance frequency is added, it will calculate the ‘Next Preventive Maintenance’ date. On that particular date, a preventive maintenance request will be automatically generated. The Odoo 16 platform's scheduled action for generating the preventive maintenance handles the preventive maintenance request generation.
You can see the scheduled action for Preventive Maintenance under Settings > Technical > Scheduled Actions, provided developer mode must be activated.

Now we can discuss the second option of the maintenance menu named “Maintenance Calendar.”
